Location: 963 Market St. Parkersburg, WV 26101

Starting Pay: $12.98 per hour

Schedule: Monday through Friday 8am – 4:30pm EST

We are seeking a highly organized, detail-oriented Office Administrative Specialist to join our team. This role is primarily focused on mail and scanning with additional responsibilities in reception and occasional community event planning and setup. The ideal candidate is a strong multi-tasker with excellent communication skills and the ability to stay focused while managing shifting priorities.

Office Administrative Specialist Responsibilities Include:

  • Collect daily electronic documents, paper mail, faxes, and client documentation delivered in person
  • Appropriately route mail, new client packets, etc. to appropriate internal departments/personnel
  • Use scanning tools to convert client information from paper to electronic format placing electronic files into appropriate electronic locations
  • Convert mailed electronic media (medical records) to appropriate format and attach to appropriate client files
  • Answer & direct incoming telephone calls
  • Greet clients, vendors, & any office visitors
  • Receive payments, give receipt, & deliver to accounting
  • Track & report daily calls/call types
  • Collect client paperwork & report it on the by-client log
  • Open & close the Parkersburg Office
  • Receive & copy documents for clients
  • Receive US Mail, UPS, and FEDEX deliveries
  • Assist with setup & coordination of occasional community & office events
  • Any & all other duties needed to serve the mission

Now you might be wondering about the pay? The Office Administrative Assistant starting pay rate is $12.98 per hour. For this position, you receive a performance appraisal EVERY SIX MONTHS! That’s right! You will always know how you’re doing with your performance. And do you know what else? If you score well on your performance review, you will get a 17 to 29 cent increase every 6 months until you reach the cap of the pay range.
